Workflow Redesign · Account teams · 10 to 25 people · More than six months

Situation

Account teams estimated 15 to 20 hours a week assembling proposals and executive briefing decks. Each proposal was rebuilt from scratch, and the people doing it did not trust a drafted version enough to stop.

Approach

Assessed first, chose each group's pathway with the staff, then rebuilt the proposal and client-briefing workflow around Microsoft Copilot, Claude, ChatGPT and Gemini Notebook, with prompt templates and a verification step against source files. Before-and-after workshops with the account leads addressed job-security concerns; role-specific modules, weekly office hours and team champions carried adoption.

Outcome

Estimated with the client's team at the review (rough figures, not measurements): time per proposal from about 18 hours to about 3.5, and consistent weekly use from under 15% to about 88%. The time regained evened out workload across teams. 10 to 25 people used the workflow over more than six months.

Basis

The figures above are the client team's own estimates at the review, not measurements. We report them the way the client gave them.

Takeaway Verification against source files is what lets a team trust a drafted proposal enough to stop rebuilding it.
